ConvoPilot is operated by Bransarv Digital Pvt Ltd ("ConvoPilot," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you use our customer engagement platform, including our WhatsApp Business integration, at convopilot.bransarvdigital.com (the "Service").

We collect information in the following ways:

• Account information you provide when you register: name, email address, organization name, and password (stored as a salted hash, never in plain text).
• Customer conversation data your organization sends and receives through connected channels (currently WhatsApp Business via the Meta Cloud API), including message content, contact phone numbers, delivery/read status, and any media attachments your customers send.
• Channel credentials needed to operate integrations on your behalf, such as WhatsApp Business access tokens, which we store encrypted at rest.
• Usage data such as log data, device/browser information, and IP address, collected automatically to secure and operate the Service.

2. How We Use Information

• To provide, operate, and maintain the Service, including delivering and receiving messages on your behalf via WhatsApp.
• To power optional AI features (e.g. suggested replies, conversation summaries) you choose to use, which may involve sending conversation content to our AI provider(s) solely to generate that response.
• To send you service-related notifications, respond to support requests, and improve the Service.
• To detect, prevent, and address fraud, abuse, security incidents, and technical issues.
• To comply with legal obligations.

3. WhatsApp / Meta Platform Data

When you connect a WhatsApp Business Account, ConvoPilot accesses data made available by Meta's WhatsApp Cloud API strictly to operate the messaging features you enable — sending and receiving messages, message templates, and delivery status. We do not sell this data, and we do not use it for purposes unrelated to providing the Service to your organization. Our use of information received from Meta APIs is subject to Meta's Platform Terms and Developer Policies, in addition to this policy.

4. Data Sharing

We do not sell your personal information. We may share information with:

• Service providers who process data on our behalf (e.g. cloud hosting, AI model providers) under contractual confidentiality obligations.
• Meta, as necessary to deliver WhatsApp messaging functionality you've enabled.
• Law enforcement or regulators, where required by law.

5. Data Retention

We retain conversation and account data for as long as your organization's account is active, or as needed to provide the Service. You may request deletion of your organization's data by contacting us below; certain data may be retained where required by law.

6. Security

We use industry-standard measures — including encryption of credentials at rest and in transit, access controls, and secure hosting — to protect your information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
